SCALE Program Assistant

Trailblazing since 1975, 51²è¹Ý¶ù’s two-year accelerated J.D. program focuses on integrating substantive knowledge and professional skills instruction. By introducing additional innovations in recent years, SCALE has also kept pace with the growing demand of law students for both structure and flexibility in a two-year immersion program.

The SCALE Program Assistant provides administrative support to the Associate Dean and Assistant Director of SCALE by contributing to office operations and productivity. The SCALE Program Assistant demonstrates strong organizational and time management skills in a fast-paced environment while maintaining the ability to meet deadlines. The SCALE Program Assistant position is an in-person position, with some remote work possible.  

Primary Responsibilities

  • Collaborate with Associate Dean and Senior Assistant Director in developing, implementing, and coordinating programs and events.
  • Develop and deliver written and verbal internal/external communications (e.g. reports, email communications, social media postings, digital and physical flyers, etc.) for various audiences/purposes.
  • Communicate with program applicants regarding deadlines, forms, financial assistance, international programs, and referrals to appropriate departments and offices.
  • Demonstrate a thorough understanding of the program, university policies and procedures, and other specific information about purposes, locations, and contact personnel in the different university offices. This knowledge base needs to be updated on an ongoing basis.
  • Provide routine administrative and operational support for assigned projects and/or programming; manage calendars, proofread documents, photocopying, notetaking, and maintain files.
  • Communicate with faculty regarding course syllabi; maintain electronic copies of the program’s course syllabi files; handle the textbook adoption process, including confirming textbook orders to the SW Bookstore. 
  • Assist with and attend meetings/events and keep track of student attendance, when required.
  • Compile and track program admissions data; prepare reports on a weekly basis or as instructed.
  • Provide budget support by monitoring and reconciling budget accounts, processing requisitions, and compiling budget reports; may assist in forecasting annual payroll and program budget requirements.
  • Screen and prioritize incoming calls and emails, determining what contact or action is required for satisfactory disposition. Respond to inquiries or requests for information or refer to supervisor, as appropriate.
  • Greet students, faculty, and staff who contact or visit the SCALE Office. Refer visitors to appropriate faculty, staff, or office for assistance when needed.
  • Completes other duties, as assigned.

Minimum Job Requirements

  • Bachelor's degree;
  • Two years of experience working in administrative services in higher education, student services, or a similar environment is preferred. Combined work experience/education may be substituted.
  • Completed degree(s) from an accredited institution above the minimum education requirement is considered a substitute for experience on a year-for-year basis.

Salary: $20.68/hour
